I don't want to speak out of turn but I believe there was a very large amount of work to organize the fall run. My guess is that the organizers wouldn't want to do it twice. Personally, I thought it was a little late in the season and would love to see it moved up.
It's not really that much work. Pick a date and post it. I used to have a poll for dates, but that was too complicated, and inevitably several people couldn't make it. So I just started picking a date, with a raindate the following weekend. I started posting the date earlier, in July or so, so folks can alter schedules to attend, if possible. I think it's safe to say that it's become enough of an event that a lot of people will move stuff around so they can make it, but a lot of lead time is the key to that. Give someone 2-3 months, not 2-3 weeks.
The biggest hassle is the route map. There's as of yet no universally-accepted way of distributing the map that can be imported into a Garmin, Magellan, Tom-tom, iphone, blackberry and a car nav system, so I've always used google maps and printed copies. The route map changes a bit every year based on suggestions and road closures. It only takes a few minutes to edit in the changes to last year's map, but it's absolutely no-two-ways-about-it critical that the route gets pre-driven to avoid construction sites. Last year we found a huge one right in the middle that would have created chaos, so altered the map to suit. Because we want to avoid unwanted "guests" on the drive, the map link is sent out by pm. That can be a bit of a pain, because you can only pm 5 people at a time, so it takes an hour or so to copy and paste the info to 70+ people. And inevitably there are several people pm'ing to ask what the start time is, what the departure point is, etc. even though that's posted in large, bold text in the thread, and at the top of the pm sent to everyone

yeah Christien is right on the money in every point..
the ONLY piece we didn't pre-drive was hwy 20 back to the highway ... and we all know what happened there
The reason it is so late is because it has become the iconic swan song of the season , many put their cars away after this and it has become the Rennlist indicator to the end of the driving season.
small runs are easy to organize, when you get into 60-80 cars it gets a little more challenging.
Really does not matter if you are new. " if you build it they will come" .
As Christien said , pick a date and time and guys will always show up , jut ask them to post if they are coming to give you an order of Magnitude.
